Your privacy is important to us – This Privacy Policy Statement sets out primarily the management of personal information by Q Financial Group Pty Ltd ABN 78 603 989 662 | Q Financial is a corporate credit representative of e-Financial Group Australian Credit Licence 449233 and its appointed Credit Representatives (us/we/our) how we obtain, use and disclose personal or financial information. We do not trade, rent or sell your information.
We confirm that any personal information we collect about you will only be used for the purposes indicated in our policy. It is important to us that you are confident that any personal information we collect from you or is received by us will be treated with appropriate respect ensuring protection of your personal information.
Personal Information
When we refer to personal information we mean information from which your identity is apparent. This information may include information or an opinion about you, from which your identity can reasonably be ascertained. We need to identify you to do business with you.
Financial / Credit Information
We collect various kinds of financial information to assist us to complete a preliminary assessment and provide credit assistance. By law we are not permitted to keep or disclose Tax File Numbers (TFN). Therefore if you are providing documents to us that include your TFN, these numbers must be removed and not stored in our system or passed on to another party.
Why we collect your information?
Your information is obtained for the purpose of providing credit assistance.
When applying for a consumer credit contract or lease financial information is provided to a bank or lender via a secure electronic portal hosted by the Credit Representatives aggregator.
We also collect your information so we can stay in contact with you. From time to time we may offer other products and services that could be appropriate to your circumstances. If you do not provide your Credit Representative complete and accurate information they may not be able to assist you in providing credit assistance.

Information you send directly to us
When reasonable and practical we will collect your personal information directly from you. When receiving personal and or financial information from third parties we will verify this with you.
When sending personal and financial information to your Credit Representative we recommend using the supplied PDF forms and or only sending e-mails to the Credit Representatives. All our processes are ‘Hi Tech’ and High Touch, i.e. you can fill out a form by hand and fax it to us if you are concerned about transmitting personal information by email.
We never recommend sending financial information to or from a Gmail, Hotmail webmail style account.
If you engage a Credit Representative of Q Financial Group
By providing information to your Q Financial Group Credit Representative, you are consenting to our privacy policy.
To whom will we disclose your personal and financial information?
Your information may be provided to other members and credit representatives of Q Financial Group Pty Ltd by your Credit Representative for the purpose of completing, seeking assistance, guidance or mentoring on behalf of the Credit Representative nominated in the Credit Guide provided to you for consumer credit applications and or financial related products.
You consent to us that an authorised third party or consultant to the Q Financial Group may view your information for the purpose of conducting compliance audits to meet ASIC regulations.
You consent to us disclosing your personal information to a credit provider prior to an application with any particular lender. This could be to obtain a banker’s opinion about your business, trade or profession or the suitability of a credit contract in your current circumstances based on actual or hypothetical scenarios.
You consent to us disclosing your personal information to your employer, estate agent, referee, bank, credit provider, financial planner or accountant to verify details that you have provided to us so we can prepare an application on your behalf.
You consent to us that we may provide your personal contact details being name, phone number, residential address & email for services such as, Financial Planning, Conveyancing, Solicitors, Estate Planning, Accountants and Real Estate/Buyers Agents and Valuers for services that may be required to complete or complement the financial services we provide.
You consent to us that we may receive information from lenders about your credit affairs, to provide any relevant real estate agent, lawyer or conveyancer details of whether finance has been approved for you, the terms of that approval, including providing a copy of any approval letter.
You consent to us that we may disclose personal information about you as required by law or to organisations involved in providing credit to you or any of your associates or contractors, (including, for example, stationery printing houses, mail houses, lawyers, accountants) or people considering acquiring or taking an interest in your business or assets.
You consent to us that we may disclose your Credit File information to a lender so that your Credit Representative can determine if lenders policies are suitable to your credit circumstances.
You consent to us that we may disclose your personal and financial information to an aggregator or professional body for the purposes of becoming an Associate or Credit Representative.
Prior to disclosing any of your personal information to another organisation we will take all reasonable steps to satisfy ourselves that:

We may be required or authorised by law to disclose your personal information. Circumstances in which we may disclose your personal information would be to a Court or Tribunal in response to a request or in response to a subpoena or to the Australian Taxation Office.

What information do we hold?
The types of information we keep on record will depend on the type of product or service requested by you. We keep a record of everything you provide to us as required to keep by law.
We do not actively seek to collect sensitive information (for example health information or information about your racial or ethnic origin or any criminal record), unless it is necessary for our business purposes. If we do have to collect sensitive information, we will do so in accordance with the National Privacy Principles.
Where sensitive information is collected, stored, used or transferred about you, we will only use this information if you have consented or in the exercise or defence of a legal claim.
How do we store your information
Paper based information is stored in a locked filing cabinet and or in a secured alarmed location. Once the transaction is complete the documents are imaged, originals destroyed & data archived.
Your personal and financial information is also stored on your Credit Representatives aggregator’s platform. These are at the highest industry security standards.
Credit Representatives do not to store any client personal identification and or financial information documents on their laptops, phones, tablets or cloud based services. During the process of providing credit assistance this information is moved off these systems when practical and completely removed post settlement or if your application does not proceed.
Your name, email address and other generic information may be stored on an email marketing platform, which may store this data outside of Australia. No identifiable personal or financial information documents or otherwise is entered into or stored on these systems.
We have taken all reasonable steps to ensure the access of client data is restricted by individual unique user access logins and Strong Passwords and phrases. Archived information is stored, backed up and only accessible by our internal network.
As part of Q Financial Group’s IT disaster recovery plan your information may also be stored in an encrypted storage solution which is off-site and not accessible by the internet.
Updating your information
It is important to our relationship that the personal information we hold about you is accurate and up to date. During the course of our relationship with you we will ask you to inform us if any of your personal information has changed.
If you have not done business with us during a period of 90 days we will always ask that you fill out a Privacy and Confidential Assessment form. Even if your circumstances have not changed, ASIC still requires your Credit Representative to obtain this information from you again. This also ensures the information we have is the most current.
If you wish to make any changes to your personal information you may contact us at any time. We will generally rely on you to assist us to make sure the information we hold about you is not inaccurate or incomplete.
Information held on the Q Financial email marketing platform can be updated by requesting a link via email (we also send this out up to two times per year) where you can update and amend some of the personal information we hold about you.
Accessing your information
We will provide you with access to the personal information we hold about you. You may request access to any of the personal information we hold about you at any time.
To access personal information that we hold about you, use the contact details specified below. We may charge a fee for our costs in retrieving and supplying the information to you.
Denied access to your personal information
There may be situations where we are not required to provide you with access to your personal information. For example, such a situation would be information relating to an existing or anticipated legal proceeding with you, or if your request is vexatious.
An explanation will be provided, if we deny you access to your personal information we hold.
Direct Marketing
From time to time we may use your personal information to provide you with current information about mortgage loans, special offers you may find of interest, changes to our organisation, or new products or services being offered by us or any company we are associated with.
To provide some of our direct marketing services some of your personal information may be stored on the systems of the product providers. We review their privacy policies and insure access to this information is via secure login. This information is usually limited to core contact details.
If you do not wish to receive marketing information, you may at any time decline to receive such information. This can be done by;

Social data
When you engage with us on social platforms we may have access to analytical data such as those provided in Facebook’s ‘OPEN GRAPH’.
When you engage on the social platforms you are consenting that any information you provide publically and statistical data available to us by reasonable means may be used by your Credit Representative of any member of the Q Financial Group of companies for the purpose of identifying you, providing credit assistance or marketing purposes.
An example of this would be a positive complimentary comment used as a testimonial or responding to a sponsored post or offer.
Website data
Website analytics can provide us a reasonable amount of data pending on the privacy settings of your browser. This may include your IP address and other identifiable personal and location data. In regards to ‘Cookies’ and other tracking data. The ethos of Q Financial Group is that we do not knowingly track or use this data although it could be accessible.
Disclosure of Social and Website Data
We DO NOT trade, sell or exchange this data with any organisations. It may be possible that other social and Internet sites linking to and from our sites exchange this data by the nature of how these sites are structured. Most of this information would be considered public information or information based on your personal privacy settings.

You may request further information about the way we manage your personal information by writing or emailing. Although our Privacy Policy is quite comprehensive we will attempt to answer any questions you may have and update our policy accordingly if required.
Change in our Privacy Policy
We are constantly reviewing all of our policies and attempt to keep up to date with market expectations. Technology is constantly changing, as is the law and market place practices.
